Affiliate Privileges

This section explains the processes by which a user creates affiliate privileges. Affiliate privileges are processed in PSB (Position System/Budget). MAC (Menu of Affiliate Commands) allows a user to see all the functions and lists associated with affiliates. Affiliates are identified as individuals who are not employees of the University but are affiliated with the University and have been granted some privilege based upon that affiliation. Privileges may only be granted for a pre-defined and limited time period, after which they must be renewed.


How to Create an Affiliate

AFF (Affiliate privileges) provides the facility for viewing and creating affiliates for a specified period of time. The affiliate's privileges will be effective for a one year maximum, after which they must be renewed. Affiliates must first be assigned an Employee ID through SUNE command.

Step by Step Process

  1. Input AFF in the Command field; tab to the Action field and type "A" (add). Press Enter.
  2. Input the employee's id (or use the PF1 help) in the Emp ID field; tab to the Date field and type the date privileges are to begin. Press Enter.
  3. Input the sponsor id (or use the PF1 help) in the Sponsor ID field. The sponsor id is the primary contact regarding any issue related to the privileges granted the affiliate.
  4. The thru Date will default for one year based on the date entered in the banner.
  5. Input the BU responsible for granting the privilege to an affiliate.
  6. Input the Privilege type to be granted the Affiliate. You can input more than one privilege, if appropriate. The following Privileges are available for an affiliate: Mail, BASI, TC and PC.
  7. The Note field is optional.
  8. Press PF10 to save and submit the Affiliate for approval.

How to Find Affiliates

There are several list functions available in PSB to find affiliates.

  • LAPD - List Affiliate Privileges by Date
  • LAND - List Affiliates by Name for a Date
  • LABN - List Affiliates for a BU by Name
  • LATN - List Affiliates for a Priv Type by Name
  • LABT - List Affiliates for a BU & Type by Name
  • LASN - List Affiliates for a Sponsor by Name
  • LATA - List Affiliate Txns for an Affiliate
  • Using LAPD to Find Privileges for Affiliates

    LAPD (List Affiliate Privileges by Date) displays privileges for an affiliate by a starting from date. The list also displays sponsor information and the effective dates of the privileges.

    Using LABN to Find Affiliates by BU

    LABN (List Affiliates for a BU by Name) displays affiliates for a BU in alpha order. The list also displays sponsor information, the effective dates of the privileges and privileges for the affiliates.

    Using LASN to Find Affiliates by Sponsor

    LASN (List Affiliates for a Sponsor by Name) displays affiliates for a sponsor in alpha order. The list also displays sponsor, budgetary unit, the effective dates of the privileges and privileges for the affiliates.

    Using LATA to Find Transactions for an Affiliate

    LATA (List Affiliate Txns for an Affiliate) displays all transactions for an affiliate. The list is in most recent to least recent order by status with pending being the first entry. The status field indicates if the entry is pending, effective or rejected.


    How to Find Affiliates by Privileges

    LATN (List Affiliates for a Priv Type by Name) displays the name, effective dates and sponsor by privilege and date. PF1 help is available on Privilege.

    Using LWPB to Find Affiliates by BU

    LWPB (List Affiliates for a BU & Type by Name) displays the name, effective dates and sponsor by budgetary unit and privilege type. PF1 help is available on BU and Privilege.

    Using LAND to Find Affiliates by Name

    LAND (List Affiliates by Name for a Date) displays the name, effective dates, sponsor budgetary unit and privilege type. LAND is a comprehensive list of all affiliates by name and it may be started with a name or left blank to display all affiliates.


    How to Find Affiliates that haven't been processed

    LATA (List Affiliate Txns for an Affiliate) displays all transactions for an affiliate. The list is in most recent to least recent order by status with pending being the first entry. The status field indicates if the entry is pending, effective or rejected.


    How to Activate ADMIN ID for an Affiliate

    Step by Step Process

    1. Input www.uark.edu/basis into your browser; click on webBASIS.
    2. Input your UARK id and password. Press Enter or click Logon.
    3. Select Employee Self Service Facilities from the main menu.
    4. Select Admin ID Request/Password Reset.
    5. Enter an initial password (which must be 8 characters and contain alphabetic and numberic values). Click Reset Password.
    6. The user should receive the following message: "Your ADMIN ID has been requested and should now be available. Use this initial password when you sign on to ADMIN. At that time you will be required to change your password".
    7. Select Logoff.
